Refund Policy – World Change Forum (WCF)

At the World Change Forum (WCF), we are committed to delivering the highest quality experience for our delegates at all conferences and events. We also recognize that there may be circumstances where a refund or credit is necessary. This refund policy outlines the terms, conditions, and procedures governing refunds and credit vouchers for registrations made through our official platform.

Refund Eligibility

All refunds will be issued in the form of WCF Credit Vouchers (WCVs) only. These vouchers are exclusively redeemable for future WCF conferences, forums, or events.

The refund policy varies depending on the registration category:

  1. Fully Funded / Partially Funded Delegates
  • Registration fees for these categories are non-refundable and non-transferable.
  1. Self-Funded Delegates
  2. Delegates with Full Registration Fee
  • Eligible for cash refunds in accordance with the cancellation policy outlined below.
  1. Delegates with Discounted Registration Fee
  • Not eligible for cash refunds or transfer of registration.
  • Delegates may, however, request a WCF Credit Voucher (WCV), subject to the terms outlined below.

WCF Credit Voucher (WCV) Terms – Discounted Registration Fee

Request Process

  • Delegates must email their request to registration@worldchangeforum.org with the subject line: “WCV Request – [Conference Name]”.

Validity

  • WCVs are valid for 1 year from the date of issuance.

Usage

  • WCVs may only be applied toward future WCF conferences or events.

Non-Transferable

  • WCVs are non-transferable, non-refundable, and hold no cash value.
  • They cannot be redeemed for money.

Partial Redemption

  • If the value of a WCV exceeds the cost of a future registration, the remaining balance may be used within the voucher’s validity period.

Refund Process

To request a refund or credit voucher, delegates must email registration@theworldchangeforum.org with the following details:

  • Full Name
  • Order Number
  • Reason for Refund Request
  • Supporting Documentation (if applicable)

Special Circumstances

In cases of force majeure (e.g., natural disasters, terrorism, or other unforeseen events), WCF reserves the right to evaluate refund requests on a case-by-case basis.

Travel Reimbursement Policy – Fully Funded Delegates

  • Upon successful completion of the event, fully funded delegates will receive a form to submit bank details.
  • Reimbursements may take 4–8 weeks after submission.
  • To qualify for reimbursement, delegates must actively complete a climate change initiative or a community-based project in their home country/region, aligning with the leadership agenda of the forum.

Invitation-Only Category

  • The registration fee paid to obtain an invitation letter is strictly non-refundable and non-transferable.
  • Obtaining a visa remains the sole responsibility of the delegate.
  • WCF provides invitation letters solely for visa assistance purposes.

Policy Updates

WCF reserves the right to amend or update this refund policy at any time. Any changes will be communicated through our official website.
